Getting Started
Please contact us to schedule an appointment in one of our office locations or a virtual telehealth counseling visit or for more information.
Our mental health therapists, psychologists, psychiatrists, and dietitian nutritionists work out of different offices and have different hours, with appointments available between 7 A.M. and 9 P.M. Monday through Saturday. Our receptionists are available to schedule your mental health therapy counseling, nutrition counseling, nutrition testing, weight loss medications, or psychiatric medication management appointments from 8:00-5:00 Monday through Friday. If you call outside these hours, please leave a message, and one of our receptionists will call you back the next business day. We also offer an online calendar for all of our weight loss services.
Telehealth and In-office Patient Appointments:
When you schedule an appointment, our receptionists will ask you to send in the below. We must have all of these documents before your first appointment. If your mental health or nutrition provider is notified that any of these forms are not on file before your first appointment, they will have to take the time at the beginning of your appointment and ask you to fill them out and submit them before the start of your counseling session.
- Please send a copy of the front and back of your insurance card and a copy of your license to appointments@washncgroup.com. Please note that if we do not have an updated insurance card on file, we will notify you, and you will be billed self-pay for your visits.
- Please fill out and submit the patient registration forms emailed to you.
- Please fill out and submit this credit card authorization form. We will hold your card on file in our secure encrypted system so no one can see the card number. This form is necessary so we can store and process your co-pays and other fees not covered by your insurance plan securely, such as outstanding co-pays, deductibles, or no–show fees that were not collected for one reason or another at the time of your appointment. We will collect your credit card for your co-pay on the same day of your appointment. We do take flex spending cards, so if you have a health flex spending card, please let the receptionist know so we can keep this card on file for co-pays.
- Using our patient portal, you can check your appointment dates and times, payment balance, and pay any outstanding balances. Please note that we update your payment balance, including co-pays paid, when your insurance EOB for your visit is processed, which can take 1 week to 1 month. No Show Policy:
Most of our providers are in demand with a patient waiting list, so it is important that we stay on schedule so they do not keep other patients waiting. Our appointments are scheduled in 15, 30, or 60-minute slots depending on the type of service. Therefore, if you are 15 minutes late to your appointment, your provider may not be able to see you or extend your appointment time. Also, there is a no-show fee that will be charged, which is $150 for mental health therapy services and follow-up with therapy services and $125 for nutrition and nutrition follow-up visits. You can reschedule your appointment with your provider on availability.
